What overhead can we strip away, what efficiencies can we create, what software can we write, how can we organise better, can we create new, and non-standard, job roles? We wanted better service and at a lower cost of delivery. With the answers, we developed the structure that became our business model.
We deploy all our professionals in the most effective way. So, we have ‘boots on the ground’ close to the front door of any home we manage. Plus we have a central HQ to keep tight control on what we need to manage. Being ‘big’ and ‘UK-wide’ all the while keeping nimble like a local business, not a corporate giant.
A company like ours, specialising in high-quality administrative work, needs to be able to provide its people with a tidy and quiet space to do specific tasks.
We have separate departments to handle things like, in-bound email and phones, Pre-tenancy checks, midtenancy inspections, end of tenancy check out and deposit resolution, Accounts, Legal and collections and so on and these guys are all sat in one central HQ sat right in the middle of the country, our HQ.
The field-based team make full use of 21st century technology [and 20th century common sense] and work from the place they need to be. Laptops, iPad photograph based inventory software, IP telephone systems, cars and vans with tools put a team member close to any house we manage with the info they need in their pockets or briefcase. eSigning, paperless systems and remote servers keep everything tidy, organised, visible to HQ and, importantly, secure.
Of course, it’s also true that we need comfy places to sit and meet with people. Every region where we operate has a comfy place to meet, we call them Landlord-Lounges. Here the Field team can regroup, we can call meetings, meet Landlords and Renters or just recharge the batteries and have a cuppa.
We also organise special days in our central HQ when we want to showcase an idea to a group [our central HQ is in Nottingham, less than 2 hours’ drive away for 85% of the country. Next to an international train station and a tram line away from East Midlands airport].
Both Renters and Landlords get a 24/7 online portal that tracks everything you need to see about a tenancy or property.
